Step 1: Initial Client Meeting

  • Schedule an appointment with the client to introduce Al Vakil Group.
  • Complete the organization’s manpower agent form.
  • Input client details into the CRM system.
  • Arrange a meeting with the Director and Recruitment Manager to finalize requirements.
  • Upon receiving an order, proceed with the following steps.

 

Step 2.1: Client Details Collection

  • Retrieve the following details from the client (New/Existing) via email or order form:
    • Inquiry type (Tender submission/project in hand).
    • Job categories, positions per category, and job descriptions.
    • Qualifications and years of experience per category.
    • Salary range/bracket per category.
    • Various costs involved (advertisement, travel, accommodation, etc.).
    • Recruitment process details (CV selection, client interviews).

Step 2.2: New Client Procedures

  • Obtain the Tender/Quotation from the Sourcing Team if required.
  • Specify agent fees per category, Air Ticket cost, Visa Cost, Police Clearance Certificate (PCC) attestation cost.
  • Proceed with further details as per Step 2.

Step 3: Legal Compliance Templates

  • Provide templates for Demand Letter (DL) and Power of Attorney (POA) on company letterhead.

Step 4: Documentation Submission

  • Forward all collected details and documents (DL, POA, WS) to the Sourcing branch/office.

Step 5.1: Permission Application

  • The operation coordinator will apply to the Protector of Emigrants (POE) for permission to print advertisements in newspapers and conduct interviews in different cities.

Step 5.2: Client Interview Arrangements

  • Coordinate with the client for interview travel dates.
  • Arrange travel tickets and accommodation if necessary.

Step 6: POE Application Contents

  • Include DL, POA, WS, Recruiter’s License, and Company’s Trade License in the POE application.

Step 7: CV Selection/Client Interview

  • After receiving permission from POE, advertise in newspapers to call interested candidates.
  • Inform Recruiting Sub-agents to provide relevant candidate CVs for screening.
  • Screen and select appropriate candidate CVs in line with the Job Description (JD) given by the client.
  • Prepare an Excel sheet of screened candidates for Selection & Client Interview.
  • Inform selected candidates to deposit their Passport.
  • Send CVs to the Client for selection or Client interview.
  • Book venues at various cities for Client interviews.

Step 8.1: Selected CVs

  • Inform selected candidates about their selection.
  • Explain job details, salary package, and perks.
  • Obtain approval/signature from the candidate on the offer letter.
  • After selection, inform the candidate to deposit their Passport.

Step 8.2: Selected for Client Interview

  • Call selected candidates for Client Interview.
  • Explain job details, salary package, and perks.
  • Specify the work experience in the order of the Client Company, Gulf, then local.
  • Obtain approval for attending the interview on Client scheduled dates.
  • Inform candidates to attach education & experience documents along with the CV.
  • Line up the candidates on Interview day.

Step 9: Post CV Selection/Selected in Client Interview

  • After the interview, confirm offer acceptance & notice period (if any) with the candidates.
  • Take a signature on the offer letter from the Selected & agreed candidates.
  • After Selection, inform the candidate to deposit the Passport.
  • Inform the candidate to get their diploma/degree’s attested by the HRD Ministry, Delhi & the respective Embassy.
  • Inform the Client to process visas for the agreed candidates.

Step 10.1: Medicals for selected Candidates

  • Send all selected & agreed candidates for medical tests at GAMCA / Embassy approved centres.
  • Check for fit & unfit candidates & inform the client for sending visas accordingly.
  • If visas already arrived & candidate found unfit/offer rejected, then send visas for cancellation.

Step 10.2: Post Medical Test for Selected & Agreed Candidates

  • Inform the fit/unfit & candidates who have agreed to the offer to the Client for visa processing.
  • Inform service charge to the candidate & ask them to pay the same.
  • Inform the travel desk to book tickets for selected candidates.
  • Inform tentative date of travel to the candidates.

Step 11: Visa Stamping

  • Provide employment visa or work permit as per the visa rule/conditions of the country.

Step 12: Departure Process

  • Coordinate with travel agents for ticket booking.
  • Confirm tickets for selected & fit candidates & inform respective coordinators.
  • Provide departure details to the candidates & client for arranging transportation.
  • Provide candidate details (names, passport number, ticket/flight details, job category) to the client.

Step 13: Invoicing and Payment

  • Raise invoices and follow up for payment.
